Winner

It is the Society's rule that the winner of an event organises the the following annual event. For example, if you win the Spring event, you must organise the following year's Spring event. If you win the September event, you must organise the following year's September event. An event will generally be Friday, Saturday and Sunday golf, staying in accomodation Friday and Saturday night.

The spring event will be in April or May, and the September event will be in September! (about the 2nd weekend).

Winner's handicap

The winner will automatically get 2 shots deducted from their event handicap in the next event the play in. If they win that event then a further 2 shots will be deducted for the next event, i.e. a total of 4. If they do not win an event then they get 2 shots back up to the point at which they are playing off their calculated event handicap.

In summary:
Win events: -2 shots
Do not win: +2 shots (not exceeding actual event handicap, i.e. only if you are on a deduction)

Trophy and prizes

It is the responsibility of the organiser to purchase a small trophy that the winner can keep. It should be suitably engraved with details of the event, such as

The main trophy should be given back by the winner on, or before, the next event so that it can be presented to the next winner who should get it engraved with their details.

www.golfbidder.co.uk have provided us with 2 boxes of golf balls to use as prizes for our longest drive and nearest the pin competitions. Rob Akroyd will give these to someone to take to the event. The organiser can also provide some other small prizes, if they wish, to make the event more interesting. For example, we have had other prizes for:

Location

It is entirely up the organiser of the event to choose a suitable location. It is worth bearing in mind that there are people travelling from around the country to the events, so it's a good idea to suggest locations using the mail list, and see what feedback you get. Whilist it might be nice to hold an event is Scotland, the distance may well put a few people off. Having said that, we have had a successful event in France! Check out the events map to see where in the country we've been before.

Courses

Again, entirely up to the organiser to book the courses. We usually try to keep costs reasonable, at an average of not more than £20 per round. So if you can get one for £15, then another one at £25 will be OK. Some clubs offer deals such as bacon rolls and coffee on arrival, so it's worth asking what they can do, and for how much.

Some clubs also require handicap certificates, which most of us don't have, although when booking as the society, most clubs aren't bothered.

It can also be tricky booking courses for a society at weekends, so when ringing round courses, it's worthwhile asking if they have tees available for Friday, Saturday or Sunday, then after you've phoned a few you can see how to arrange them into a weekend.

Deposits

In order to secure bookings, most clubs require a deposit. Also, in order to commit people to whether they are going to attend the weekend, it's good to get a deposit from them to stop them pulling out at the last minute.

Set a date by which you require deposits by before booking any courses or accomodation. Asking for a deposit of £40 or £50 is usually enough to cover all your costs for course deposits, but keep a note of who's paid what, and who you've paid deposits to!

Accomodation

Bed and breakfast accomodation is ideal. If you can get B&B for under £30 per night per person, then that will be fine. Good places to look are Best Western, Holiday Inn Express, or just search on www.theaa.co.uk under their hotels and B&B guide.

Suggested checklist

  1. Suggest location and dates (12 weeks before event)
  2. Confirm location and dates (10 weeks before event)
  3. Ask for deposits (10 weeks before event)
  4. Receive deposits (8 weeks before event)
  5. Make bookings and give course deposits (8 weeks before event)
  6. Confirm bookings/course deposits (6 weeks before event)
  7. Any final payments, and re-confirm bookings (1 week before event)
  8. Go play!
Remember - the earlier you book courses and accomodation the easier it will probably be !
